This position is to cover a period of maternity leave as a PA to the Head of Administration and Operations, part-time, 25 hours per week. You will provide administrative and organisational support to the Head of Administration and Operations as well as the wider Admin Management Team. The PA will work closely with the Team Administrator, Directors Office, HR, Finance and the Strategic Project Management Office as well as the institute-wide Admin Network.

Your role

Key responsibilities will include, but are not limited to:
  • Diary management
  • Booking of travel and producing comprehensive travel itineraries
  • Coordinating and organising meetings and setting agenda’s
  • Planning the annual meeting programme for the Administration Network, monitoring attendance.
  • General communication to the Administration Network & wider Institute
  • Organise the Administration Network Annual Retreat
  • Tracking actions for the Head and ensuring follow up of tasks
  • Assisting the Head of Admin with implementing new systems
  • General correspondence on behalf of the Head of Admin/Ops
  • Some financial activity including budget control / credit card reconciliation
  • Taking telephone calls and relaying messages as appropriate
  • Making arrangements for and receiving and supporting visitors to campus
  • Involvement in campus wide activities
  • Line manage the Administration & Operations Team Admin Assistant

You have

It is essential that the applicants have a proven track record of relevant executive level administrative experience in a large organisation.

A high level of literacy is required.

You should have excellent organisational, supervisory, interpersonal and communication skills. The ability to work independently, to tight deadlines and to use initiative are essential. You will also need to demonstrate an ability to work as part of a team.

You will be able to demonstrate a good knowledge of Windows, MS office applications, email and web applications.

You might also have

Experience of working in an educational/academic environment is desirable.
