We are seeking to recruit a part-time Events and Marketing Officer (0.8FTE - 31.2 hours per week) to provide support for EMBL-EBI events, which include onsite and offsite courses, conferences, workshops, conference exhibitions and closed meetings. You will join a small peer group of events organisers which forms part of the Training Team at the European Bioinformatics Institute (EMBL-EBI) located at the Wellcome Trust Genome Campus near Cambridge in the UK.

Your role

Your primary goal will be to contribute to the smooth running and high standards of EMBL-EBI’s diverse and highly acclaimed programme of training and industry events. You will be responsible for the administration of events from initial concept to post-event wrap up and will undertake the marketing and promotion of the Industry programme, including:
  • budgeting,
  • scheduling, 
  • booking accommodation and travel for speakers and trainers, 
  • helping event applicants with their enquiries, 
  • promotion (including keeping the web pages for your events up to date), 
  • onsite support during the events themselves, 
  • budget reconciliation,
  • record-keeping,
  • creating marketing materials for specific events and promotion of these to selected industry groups
  • marketing of the programme, including social media and relevant academic and industry press
  • liaising with external and internal committees
  • attendance at strategic meetings,

You have

You will have been responsible for organising and marketing events, ideally ranging from ten to more than 100 participants, from start to finish and will be familiar with the needs of professionals travelling to international events as speakers and delegates. You will be comfortable planning several events simultaneously and working seamlessly with colleagues to cover for planned and unplanned absences. You will be a self-motivated individual with excellent organisational, communication and interpersonal skills, able to work effectively as a part of a team and keep calm under pressure.

A strong service ethic is a prerequisite and the ability to make delegates feel well looked after is crucial. You will have experience of database entry and management and a good knowledge of MS Office applications (especially Excel and Word), email and internet applications. You will have excellent written and spoken English language skills and an ambition to work in an international environment.

You might also have

There are no formal qualifications required for this role although a diploma or degree in an events and marketing or business administration related subject would be an asset.
