Life scientists actively seek EMBO’s prestigious Postdoctoral Fellowships to fund and support their international research careers. Likewise, approximately 300 scientists each year benefit from EMBO’s Scientific Exchange Grants, returning to their home laboratories with new skills as well as contacts for future collaborations.

The Finance & Fellowship Officer has an important role in the administration of the Fellowship Programme by bridging two teams within EMBO - Finance and Administration, and Fellowships. These teams are composed of international colleagues, working together on a daily basis, to provide a helpful and professional service to a wide range of people, both inside and outside the organization. The advertised position ensures the smooth financial operations of the Fellowship Programme.

Your role

The Finance & Fellowship Officer provides administrative support primarily for the Fellowship Programme, but also for other areas of EMBO. This mainly includes accounting and bookkeeping services. An important part of the advertised role will be to assist in managing the financial transactions, documentation, accounting and controlling of the Postdoctoral Fellowship scheme and Scientific Exchange Grants. Specific responsibilities:
  • accounting of ongoing stipend and grant payments for fellowship awardees;
  • control and payment processing of travel claims;
  • reconciliation of the pension scheme for EMBO Fellows;
  • data entry into accounting system and Filemaker;
  • email correspondence and filing;
  • entering of payments into payment database;
  • supervision of creditors accounts;
  • general accounting tasks;
  • support of and backup for Finance and Accounting Officers as well as the Fellowship Officers;
  • perform additional tasks as required by the Head of Finance and Administration and the Head of Fellowship Programme.

You have

  • a helpful personality and enjoy providing a professional service to a wide range of people, both inside and outside the organization;
  • good knowledge of bookkeeping, accounting, controlling and tax law, ideally as a trained tax assistant or accountant;
  • at least three years’ professional experience;
  • knowledge of accounting systems such as DATEV or Lexware;
  • familiarity with debtors, creditors, prepayments and accruals, cost centres and cash flow;
  • the capacity to work independently as well as part of a team in an international environment;
  • fluency in German and English;
  • excellent written and oral communication skills.

  • knowledge of the database software Filemaker;
  • additional language skills.
