EMBL Facility Management is seeking to hire an experienced building maintenance officer to oversee all building and maintenance activities related to the refurbishment of the EMBL Epigenetics and Neurobiology Unit in Monterotondo (near Rome, Italy). Prior and during the refurbishment, collaboration with the architectural team, the project manager team and Headquarters Facility Management with the aim of ensuring both its success and the continuity of the Laboratory’s ongoing scientific activities will be paramount.

Your role

Tasks related to the restructuring of the Institute
  • Maintain contact with technical teams, headquarters and staff during the preparatory phase of the renovation work on issues related to the executive project to be submitted for tender;
  • Liaise with Headquarters to share processes, standards and activity reporting;
  • Plan and coordinate with project managers the movement of laboratories and service facilities during the renovation phases.
Tasks related to the maintenance of the Institute

The main role is to supervise external maintenance companies to ensure a maximum of system availability. The applicant should be familiar with state of the art CAD systems and able to implement a facility management system on basis of best practice.
  • Manage the maintenance of equipment and supplies to keep the Unit's activities fully operational;
  • Inspect building structures to determine the need for repairs or renovations;
  • Ensure the coordination of the interventions of external companies, to manage and guarantee the continuous efficiency of the systems, to ensure the execution (preventive, ordinary and extraordinary) of the interventions;
  • Responsible for archiving the technical documentation of all plants and building works (e.g. user's manuals, assembly, guarantees, deadlines...); managing the preservation of plant spare parts; managing an allocated and budgeted (expenditure) budget through periodic reporting and approval of expenses;
  • Ensure the connection at the technical level with the Unit’s host organization regarding the maintenance of centralized technical systems on the campus.

You have

(some if not all of the following are of major importance)
  • Proven experience as building maintenance officer or relevant experience
  • Deep knowledge of heating, ventilation cooling and sanitary systems as well as knowledge in electrical and building automation systems
  • Experience in the operation of biological laboratories or equivalent
  • Excellent verbal and written communication skills
  • Working knowledge of English and excellent command of Italian (native speaker would be an advantage)
  • Excellent organizational and leadership skills
  • Good analytical/critical thinking
  • BSc/BA in plant management, engineering, business administration or relevant field
  • Relevant professional qualification (e.g. CFM) would be an advantage
  • Experience in the refurbishment of biological research institutes or equivalent would be an advantage
