EMBL's Budget Office is responsible for financial administration of research grants, including assistance in budget preparation, monitoring and controlling expenditure against awarded budget and timely preparation/submission of financial reports to grant giving bodies. It constantly performs actions ensuring completeness, accuracy and conformance of expenditure with the funders' rules. EMBL’s Budget Office supports scientific and administrative projects in the Laboratory’s Headquarters as well as at its 6 sites across Europe.

We are looking for a Project Controller/Budget Officer who will be responsible for financial administration of research projects, including budget preparation, monitoring and controlling expenditure against awarded budget and timely preparation of financial reports in liaison with the responsible scientists.

Your role

As Project Controller/Budget Officer, you will perform quality reviews to ensure completeness, accuracy and conformance of the expenditure with the funding agency’s rules. You will also contribute to the preparation of the laboratory’s budget and will be expected to take an active part in the development of the SAP-based financial and management accounting system and other financial controlling based projects. Main responsibilities include:
  • Acting as a partner for EMBL scientific and administrative units, providing support and added value that assist steakholders in decision making
  • Solving specific administrative/financial issues
  • Supporting and administering internal and external audits
  • Alerting scientific Group Leaders about potential risks ahead of time
  • Providing support to project managers with distribution of payments to other partners
  • Submission of financial reports
  • Developing a system of financial reviews and forecasts with Group Leaders
  • Participating in a wide range of reporting projects (e.g. development of Business Objects based reporting suite for Group Leaders and provision of support and assistance to other leads in the development of other financial reporting suites)
  • Independent management of complex projects with successful result delivery
  • Representing and promoting EMBL outside the organisation
  • Interpreting contractual documentation and grasping the essence of funders’ financial regulations.
In addition to financial management of external funds/grants, Budget Office supports all budget holders in their continuous efforts to efficiently control the budgets under their responsibility.

You have

As our ideal candidate, you will be a skilled project controller with a University degree in finance and at least 3 years of experience in accounting/controlling. You should possess sound knowledge of budgetary control, basic accounting concepts and financial reporting principles. You are a team player but also able to work independently. We are looking for a candidate with good communication and interpersonal skills as well as solid knowledge of the usual office software packages, especially Excel. Proficiency in accounting software (SAP is preferred) is expected. Fluency in both English and German is required. 

You might also have

Professional Accounting qualifications as well as experience in administration of academic research grants will be considered an advantage. Experience in the administration of academic research grants and experience in working in an international organisation are also advantageous.
